ADMINISTRATIVE ASSISTANT

About the Role

DogCo is a fast-moving, high-growth online membership business. We're looking for an Administrative Assistant who thrives in dynamic environments, thinks in systems, and can operate with a high degree of autonomy once trained. This person will support our leadership team - primarily our CEO - and will be expected to run a half-step ahead, not wait to be directed.

This role has a clear growth path toward Executive Assistant for the right candidate.

What You'll Do

  • Own and protect the executive calendar and inbox - managing scheduling, correspondence, and prioritization with a forward-thinking, proactive approach

  • Coordinate travel logistics end-to-end

  • Handle personal errands as needed in support of executive bandwidth

  • Support the annual Summit, a flagship event with ~200 attendees, across logistics, coordination, and execution

  • Produce graphic design one-offs (social assets, documents, presentations, etc.)

  • Provide broad operational support - including content uploads, link management, platform updates, and similar tasks

  • Delegate and coordinate small recurring tasks (e.g., agenda prep, logistics coordination)

  • Build and maintain operational systems - if one doesn't exist, you'll create it

  • Operate independently and self-pace your work within clearly defined work hours, with a firm end-of-day boundary

  • Pivot quickly - both professionally and emotionally - as priorities shift

What We're Looking For

Non-negotiables:

  • Immediately responsive during working hours

  • Exceptional contextual awareness - able to piece together the bigger picture with minimal direction beyond initial onboarding

  • Asks clarifying questions without hesitation; clarity is a requirement, not a courtesy

  • Once trained and handed off, fully owns the responsibility - no hand-holding required

  • Communicates a clear yes or no; aspirational commitments are not acceptable

  • High bar for themselves and for leadership - holds expectations in both directions

  • Comfortable operating in grey areas and translating ambiguity into concrete action

  • Experienced in a fast-growing or scaling business; understands what it means to build as you go

  • Relevant over-communicator - knows when and what to communicate, not just that communication is important

  • Territorial (in a healthy way) about the executive calendar and inbox

  • Efficient, self-directed, and systems-oriented

  • An active, engaged listener - obsessive with getting all the information you need to truly make the right call

Strong Preferences:

  • Transparent about what they enjoy and what they don't - we're not looking for a yes-person

  • Hungry for growth and depth within the role

  • Willing to show up all the way as yourself - we want someone who respects leadership and is also comfortable respectfully pushing back

After training, you operate without a checklist. You know what our CEO needs before she asks. You flag problems early, ask questions once, and execute. You're not waiting for the baton — you're already in position.
